01What we collect
- Account data: your email address, your name, and a password we store only as a hash.
- Family data: names, dates and places of birth, marriage, death and other events, relationships, notes and photos of relatives — including relatives who are alive.
- What you upload and write: photos, documents, posts, comments and memories.
- Technical data: the time and network address of a sign-in, and error logs, kept for security and for fixing bugs.
02Data about your relatives
A family tree is data about other people. When a member records a relative, the member — and ultimately the keeper of the house — is responsible for making sure that relative knows and agrees, or, for those who have passed, that the family is content.
We process that data on the family's behalf; the house, through its keeper, decides what is recorded and who sees it.
If you find yourself in a house you do not want to be in, tell the keeper or write to us and we will help.
03Why we use it
- To run the service: show the tree to the members of the house, send invitation and reset emails, remember the giỗ dates.
- To keep it safe: detect abuse, keep backups, and investigate problems.
- To improve it: aggregate, anonymous usage counts. We do not profile you and we do not advertise.
04Legal basis
We process personal data under Decree 13/2023/NĐ-CP on personal data protection and the Law on Personal Data Protection. The basis is the consent of the person the data is about — given by you for your own data, and obtained by the family for its relatives — and, for security and backups, our need to keep the service working.
Where the law requires a separate consent for sensitive data (for example ethnicity or religion in a record), the keeper is responsible for collecting it before it is entered.
05How long we keep it
Family data is kept as long as the house exists. When a house is deleted, its data and media are removed from the live service at once and from backups within 30 days.
Account data is kept while the account exists and removed when you delete it, or when you ask. Security logs are kept for 90 days.
06Your rights
You may ask to see the data about you, to correct it, to receive a copy (export), or to have it deleted.
For data inside a house, ask the keeper first — they can correct and remove it directly. For anything else, or if the keeper does not answer, write to the contact address below; we answer within 72 hours, as the law requires.
You may withdraw consent at any time; we will then stop processing the data it covered.
07Where data is stored
Family data and its backups are stored on servers at [Server location].
If we move data to another country, we will update this policy before we do.
08Who processes data for us
A few providers handle data on our instructions:
- Hosting: [hosting provider]
- Email delivery: [email provider]
We share data with no one else.
09Cookies and local storage
VietFam uses no advertising or analytics trackers.
Your browser keeps session tokens (so you stay signed in), your chosen language and theme, and which family you last opened — in localStorage, on your device only.
Clearing site data signs you out and forgets those preferences; nothing else is lost.
10Children
Family trees include children, recorded by their parents or relatives; that is the family's decision, under the rules above.
Accounts themselves are for people aged 16 and over. If we learn that a younger child has opened an account without a guardian's agreement, we will close it.
11Changes to this policy
When this policy changes in a way that matters, we will show a notice in the app and email keepers before it takes effect. The date at the top is the date of the current version.
